Administrative Assistant – Project Support for Gender‑Based Violence Response

About the role

The Project Administrative Assistant will support the UNFPA Cuba Country Office in delivering the "Supporting the National Response to Gender‑Based Violence in Cuba" project, working closely with the Federation of Cuban Women and key sector partners.

Key responsibilities

• Monitor budget implementation, prepare adjustments and budgets within UNFPA systems.
• Coordinate international and local procurement processes, ensuring compliance with procedures.
• Inspect and manage the distribution of supplies and oversee supply‑chain activities.
• Assist the Programme Analyst in preparing reports and managing data on institutional platforms.
• Provide financial monitoring, identify progress and challenges, and support financial reporting to UNFPA and donors.
• Facilitate coordination with institutions and civil‑society organisations for project actions.
• Handle logistical preparation for field missions, including monitoring and evaluation trips.
• Support national counterparts with administrative and logistical tasks and deliver training as needed.
• Assist the Head of Country Office in conferences and public events related to the project.
• Ensure full compliance with UNFPA policies on human rights, ethics and security.

Required profile

• Completion of secondary education; university degree in Administration, Economics, Accounting or related field is highly desirable.
• Minimum four years of experience in project administration and financial management.
• Fluent oral and written Spanish and working knowledge of English.

Required skills

• Proficiency with Microsoft Office suite (Word, Excel, PowerPoint).
• Experience using Windows operating system.
• Knowledge of Quantum accounting software and other computerized accounting systems.
